Action Items Overview

Action Items are used to guide buyers through required tasks and events during the transaction

Action Items provide a clear checklist of what needs to be completed and help keep the closing process on track.

Action Items can represent:

  • Tasks (for example, submitting a document)

  • Events (for example, a scheduled site visit)

Completed and upcoming items are visible to both your team and the buyer.


Creating Action Items

You can create custom Action Items for an individual property.

  1. Navigate to Action Items
    From the Homes index, open a property and select Action Items from the left-hand menu.

  2. Add a new item
    Click Add New at the top of the page.

  3. Define the Action Item

    • Title — Enter a clear, descriptive name

    • Type — Select Task or Event

    • Due Date — Set a required date

    • Description — Add instructions or context for the buyer

    • URL (optional) — Link to an external resource if needed

    • Buyer can mark as complete — Enable if the buyer should confirm completion in their portal

  4. Create the item
    Click Create to add the Action Item.

The Action Item is added to the property and the buyer is notified automatically.


Editing Action Items

Existing Action Items can be updated at any time.

  1. Select the item
    In the Action Items tab, click the task or event you want to edit.

  2. Edit details
    Click Edit.

  3. Update fields

    • Title

    • Type (Task or Event)

    • Due date

    • Description

    • URL

    • Buyer completion setting

  4. Save changes
    Click Save.

Updates appear immediately for both your team and the buyer.


Completing Action Items

Action Items can be marked complete by your team, or by the buyer if allowed.

  1. Select the item
    Click the Action Item that has been completed.

  2. Mark as done
    Click Mark as Done.

The item moves to the Completed section for both you and the buyer.


Deleting Action Items

Remove Action Items that are no longer relevant to a transaction.

  1. Locate the item
    Find the Action Item in the list.

  2. Open options

    • Click the item to open its details, or

    • Click the ellipsis () next to the item

  3. Delete
    Select Delete.

  4. Confirm
    Confirm the action to permanently remove the item from the property.

Deleted Action Items are removed from both Operator and the buyer’s view.


Key Notes

  • Action Items are property-specific

  • Buyers only see items assigned to their home

  • Completed items remain visible as a record of progress
