When uploading a document to a community folder, you can backfill these documents to existing transactions within this community.
Steps
Navigate to the community
From the left-hand navigation, expand the Advanced tab, then go to Communities and select the community you want to upload a document to.
Open Documents
Within the community, open the Setup tab from the left-hand sidebar, then click the Documents tab.
Upload your document
Click Upload document and select your file, or drag and drop it into the upload area. Supported formats include images, videos, PDFs, Word, and Excel files.
Enable backfill
Check the Backfill these documents to existing transactions within this community checkbox.
Select transaction statuses
From the Select statuses dropdown, choose Under Contract, Closed, or both — depending on which homes should receive the document.
Complete the upload
Click Upload to save the document. The backfill is applied immediately to all matching transactions in the community.
Why it matters
This is especially useful when you're adding a new community document — like a warranty guide, HOA packet, or closing checklist — to a community that already has active or closed buyers. Instead of tracking down each transaction individually, you can push the document to all relevant homes in one step.
Key notes
The backfill is a one-time action at upload. It cannot be applied retroactively after the document has been saved.
New transactions added to the community after the upload will continue to receive documents automatically going forward.
Supported file types include images, videos, and documents (PDF, Word, Excel).
