Effective internal collaboration is essential for creating a seamless buyer experience. OPERATOR offers powerful tools to keep your team aligned, informed, and accountable. By centralizing notes and tracking activity, you can improve workflows and ensure every team member has the context they need to excel in their role.

1. Add/Edit/Delete Internal Notes

Internal Notes are a private communication channel for your team, visible only to internal users. Use them to log important conversations, share updates, or leave reminders for colleagues directly on a property's page. This ensures all critical information is stored in one accessible location.

To add an internal note:

  1. Navigate to a Property: From the Homes tab, select the property you wish to add a note to.

  2. Access the Notes Tab: Go to the Collaborate tab and click on the Internal Notes in the property's navigation menu.

  3. Create a Note: Click the Add Internal Note button.

  4. Compose Your Message: Write your note in the text box. You can also attach files to your notes.

  5. Post Note: Click Done to add it to the property's internal feed.

To edit or delete an internal note:

  1. Locate the note you wish to modify in the Notes page.

  2. Click on the ellipsis button (...) to see Edit and Delete options.

  3. Click Edit to make changes and save, or click Delete to permanently remove the note.

You can also add, edit and delete an internal note on the Properties overview page.

2. View Activity History

The Activity History provides a comprehensive, timestamped log of every action taken on a property, transaction, or contact. This feature creates complete transparency, making it easy to track progress, diagnose issues, and ensure team accountability.

To view activity history:

  1. Navigate to the Item: Go to the specific Property, and find the Collaborate tab.

  2. Access the Activity Tab: Select the History tab from the menu.

  3. Review the Feed: The activity feed displays a list of all events, including:

    • Contacts Added.

    • Action Item completions.

    • Updates posted to the buyer.

    • Construction milestones.

    • Internal notes added or edited.

This transparent record empowers your team with a single source of truth, enabling clear communication and efficient management of every buyer journey.
