Action Items are a fundamental component of the OPERATOR platform, designed to streamline the buyer journey and ensure a smooth, on-time closing. This feature provides a templated checklist of tasks and events that guides your buyers through critical steps, accompanied by automated reminders that reduce your team's administrative workload.

Creating, Editing, and Completing Action Items

Managing the buyer's to-do list is simple and ensures complete transparency throughout the transaction.

To create a new Action Item:

  1. Navigate to Action Items: From the Homes index, select a property and click on the Action Items tab in the left-hand menu.

  2. Add New Item: Click the Add New button at the top of the page.

  3. Define the Action Item:

    • Enter a clear and descriptive Title.

    • Select whether the item is a Task (e.g., a required document submission) or an Event (e.g., a scheduled site visit).

    • Set a Due Date to establish a clear timeline.

    • Provide a Description with any necessary details or instructions for the buyer.

    • Add a URL if you need to link to an external resource, such as a lender's application page.

    • Determine if the buyer can complete the item by checking or unchecking the Buyer can mark as complete box. If checked, the buyer can confirm completion in their portal.

  4. Create: Click Create to add the custom Action Item to the list for that specific property. The buyer will be notified automatically.

To edit an existing Action Item:

  1. Select the Item: In the Action Items tab, click on the task or event you wish to modify.

  2. Click Edit: From the details view, select the Edit button.

  3. Update Details: You can change the title, type (Task/Event), due date, description, URL, or the "Buyer can mark as complete" setting.

  4. Save Changes: Click Save to apply the modifications. The buyer's view will be updated instantly.

To complete an Action Item:

  1. Select the Item: Click on the Action Item that has been finished.

  2. Mark as Done: Click the Mark as Done button. The item will move from the "To Do" or "Upcoming" list to the "Completed" section for both you and the buyer. This action provides a clear and satisfying sense of progress.

Deleting Action Items

Keep your buyer's task list clean and relevant by removing any Action Items that are no longer applicable to a specific transaction.

To delete an Action Item:

  1. Navigate to the Item: Locate the Action Item you wish to remove from the list.

  2. Access Options: Click on the item to open its details, or use the ellipsis (...) menu next to it.

  3. Select Delete: Choose the Delete option.

  4. Confirm: A confirmation prompt will appear to prevent accidental deletion. Confirm the action to permanently remove the item from the list for that property.

This ensures the buyer's view remains focused only on the tasks that are essential for their journey to homeownership.
