Managing Properties

Effectively managing your property inventory is central to the OPERATOR platform. This guide provides step-by-step instructions for adding, editing, and managing the lifecycle of your properties, from initial setup to a closed or withdrawn transaction. A well-maintained property list ensures accuracy and empowers your team with the information needed to drive sales.

Add/Edit Properties

This section covers the creation and modification of individual property listings within your communities.

To add a new property:

  1. Navigate to the Homes Tab: From the main dashboard, select the Homes tab.

  2. Initiate Creation: Click the button to add a new property, often located in the upper right corner.

  3. Complete Key Fields:

    • Community: Select the community where the property is located.

    • Plan: Choose the appropriate floor plan from the list associated with that community.

    • Lot/Unit Number: Enter the specific identifier for the property.

    • Address: Input the full street address.

  4. Save Property: Click Create or Save to add the new property to your "Pre-Contract" list.

To edit an existing property:

  1. Select the Property: Locate the property you wish to modify in the Homes tab and click to open its overview page.

  2. Access Edit Mode: Navigate to the Details section and find the Properties tab. Click the Edit button.

  3. Update Information: Modify any fields as needed, such as the address, plan details, or status.

  4. Save Changes: Click Save Changes to apply your updates.

Create/Close Transactions

Initiating and closing transactions are key actions that move a property through its sales lifecycle.

To create a new transaction:

  1. Select a Pre-Contract Home: From the Homes tab, find the property you are placing under contract.

  2. Add Buyers: Click the Add Buyers link. This will prompt you to create a new transaction.

  3. Enter Transaction Details:

    • Input the Contract Price and Contract Date.

    • Confirm the Plan details are correct.

    • Add your Buyers by searching for existing contacts or creating new ones.

  4. Create Transaction: Click Create New. The property will automatically move from "Pre-Contract" to "Under Contract."

To close a transaction:

  1. Navigate to the Transaction Tab: From the property's overview page, select the Transaction tab.

  2. Edit Transaction Details: Click to edit the transaction.

  3. Update Status: Change the property status to Closed and enter the Closing Date.

  4. Save Changes: Confirm the update. The property will now move to your "Closed" homes list, creating a permanent historical record.

Withdraw Transactions

If a deal falls through, the withdrawal function allows you to cleanly reset the property while retaining its core details.

To withdraw a transaction:

  1. Navigate to the Transaction Tab: Select the "Under Contract" property and go to its Transaction tab.

  2. Edit Transaction Details: Click to edit the current transaction.

  3. Select Withdraw: Change the status to Withdrawn and select the date of withdrawal.

  4. Confirm the Withdrawal: Click Save Changes and confirm the action.

Upon withdrawal, all buyer-specific information, including names, contact details, and personal documents is removed. The property itself, with its physical details like address and floor plan, is returned to the "Pre-Contract" list, making it available for new buyers. This ensures a seamless transition back into your sales pipeline.

Media - Gallery Tab

OverviewThe media gallery serves as the visual portfolio for each property. The first image in the gallery is automatically designated as the 'hero' image, which acts as the primary thumbnail and display picture for the property across the platform. A compelling visual gallery is essential for showcasing properties and documenting construction progress.

Add/Remove Media

  1. Navigate to the Media Section: From the Property Details page, find the Gallery section.

  2. Add Media: Click Add Photos and Videos. You can drag and drop files directly into the window or browse your computer to select them. Multiple files can be uploaded simultaneously.

  3. Remove Media: To remove an image or video, hover over it and click the Trash icon that appears.

Drag and Drop to RearrangeOrganizing your media is simple. To reorder your gallery, click and hold any image or video, drag it to your desired position, and release. This allows you to control the visual narrative, ensuring the most impactful media, like photos of the actual property, are featured first.
